Vendor selection and bid review

Three quotes formatted three different ways is not a comparison. We write the scope first so every bidder answers the same questions, then read the responses line against line and tell you what is missing from each.

Where the difference between quotes actually hides

The cheapest bid is often the one that quietly left two lines out. Once every bidder is answering the same scope, the gaps stop being invisible and the prices become comparable.

How it runs

  1. Define what you are buying. Posts, hours, supervision, reporting, cover for turnover, insurance limits, and how the rate moves in year two.
  2. Issue one scope. Every bidder receives the same document, so what comes back can be laid side by side.
  3. Read the responses. Line against line, including the lines somebody chose not to price.
  4. Sit in on the decision. We can be on the call when you pick, or stay out of it. Either way we are not one of the bidders.

What you receive

  • A written scope of work you own and can reuse at the next renewal.
  • A comparison matrix with every bidder against every line, including the omissions.
  • The questions to ask each firm before you sign, and what a good answer sounds like.
  • A read on the contract terms that cost money later: escalators, cover, and exit.
